ClaimEvidence

How we handle your details when we contact your firm

This notice covers ClaimEvidence's emails to people at firms that advise on R&D tax relief. Our general privacy notice, for website visitors and customers, is at claimevidence.co.uk/privacy.html.

Who we are

Sprint Ready Ltd (trading as ClaimEvidence), registered in England and Wales, company number 17375471, registered office Broughcliff, Shrewsbury, SY4 3LD, UK. We are the controller of the details described here. Contact: support@claimevidence.co.uk.

What we hold and where it comes from

About your firmName, company number, registered address and industry code (from the Companies House public register); its website address and what its website says about its services.
About youYour name and job title (from your firm's website or the Companies House register of officers), your work email address (published on your firm's website, worked out from your firm's usual email format and checked where possible, or found through one of the business contact directories described below), and any emails we exchange.
The personal pageWhen the back-test page linked from our email is opened, we note the date and time against your firm. Nothing is stored on or read from your device: no cookies, no scripts, no tracking pixels in our emails.

We only contact limited companies and LLPs, at work addresses, about something relevant to their work. We never use home addresses or personal email accounts, and we don't buy mailing lists.

The business contact directories we use

To find the right person at a firm, and the correct work email address for them, we use two established business contact directories: Icypeas and Apollo.io. Services like these are widely used by UK and international businesses for sales, recruitment and partnerships.

Why, and our lawful basis

To tell a small number of firms who advise on R&D tax relief about ClaimEvidence and offer a free back-test, by individual emails from Stu Whisson. Our lawful basis is legitimate interests (UK GDPR Article 6(1)(f)): introducing a relevant business service to professionals whose work it concerns, which they would reasonably expect, with an easy way to say no. Under the Privacy and Electronic Communications Regulations, emails to corporate subscribers don't need prior consent, but every email says who we are and lets you opt out.

We use an AI model to judge from a firm's own website whether it does R&D tax work, and to draft emails that Stu reviews. It makes no decision with legal or similarly significant effects on anyone.

Who handles it for us

Hostinger (our email service) and Amazon Web Services in the EU (hosting and the AI model) act only on our instructions under data processing agreements. When we look someone up in Icypeas or Apollo.io, we share only the firm's name or website and the person's name or job title. We don't sell your details or share them with anyone else.

How long we keep it

Up to 2 years after our last contact, unless your firm becomes a customer. If you unsubscribe, we keep only your email address (or your firm's web domain, if you stop emails to everyone there) on a do-not-contact list, for as long as we send emails, so that you are never contacted again.

Your rights

You can object at any time to these emails and we will stop (use the link in any email, reply "unsubscribe", or write to us). You can also ask for a copy of what we hold, ask us to correct it, or ask us to delete it. We reply within one month. If you're unhappy with how we've handled your details, you can complain to the Information Commissioner's Office at ico.org.uk; we'd appreciate the chance to put it right first.
